Role

Reporting to the Head of the Mumbai Office, the Administrative & HR Assistant will provide generic administrative support to Estire Research & Analytics employees. The role carries responsibility for smooth day-to-day running of the office as well as supporting HR & Finance functions. This is a maternity cover for 6 months starting mid-September 2017.

Responsibilities

Administration

  • Supervising and managing all day-to-day office administrative activities.
  • Supporting Senior Office Manager with regards to smooth running of the office.
  • Overseeing and monitoring clerical and secretarial functions, supervise staff & evaluate their performances.
  • Premises administration.
  • Distributing entry cards to new joiners and setting them on the time tracking system.
  • Liaising with vendors and keeping track of all maintenance contracts and AMCs.
  • Co-ordination and maintenance of systems related to housekeeping.
  • Managing travel reimbursement process.
  • Ordering stationary.
  • Procurement and maintenance of office equipment/furniture.
  • Travel arrangements and booking.
  • Petty cash reconciliation.
  • Managing company events.
  • Submitting invoices to the outsourced Finance function and assisting during financial audits.
  • Supporting employees in any administrative requirements they may have.

HR

  • Processing starters (new joiners’ paperwork) and leavers.
  • Drafting generic HR correspondence as instructed by the HR Department.
  • Liaising with payroll vendor with regards to any queries.
  • Preparing salary cover letter.
  • Distributing payslips, F&Fs and Form16 as required.
  • Maintaining attendance records.
  • Maintaining employee records and employee master file.
  • Setting up new users on the system/deleting leavers.

Requirements

  • Good written and spoken English.
  • Previous administrative experience.
  • Excellent organisational skills.
  • Proficiency in MS Word, MS Excel.
  • Self-discipline, attendance, timekeeping.
  • Ability to prioritise workload and solve problems efficiently.
